Hiring an ice cream van: what does it really cost? Prices & calculations for 2026

The question almost everyone has – and hardly anyone answers clearly
You're planning an event and want to hire an ice cream van. You google prices – and find only vague answers: "from €150", "depends on the vendor", "on request". That doesn't get you very far. So in this article, we show you exactly how the price of an ice cream van is made up, what's realistic – and what you should budget for your event.
The good news first: an ice cream van isn't a luxury in most cases. With the right planning, it's one of the most affordable and, at the same time, most effective ways to give your guests an unforgettable experience.
All figures in this article: Germany-wide
The prices and minimum spend figures in this article are based on real vendor data from eisbuchen.de across Germany. Availability may vary in your region: depending on how many ice cream van vendors are active near you, your actual choice may be smaller than the nationwide average – and prices or minimum spend amounts can also be somewhat higher or lower locally. These figures give you a realistic sense of scale, but they don't replace looking at the vendors actually available in your region.
Price per scoop, not a flat fee: how billing works
Before we get into the detail, here's the basic principle: on eisbuchen.de, vendors bill using the classic price-per-scoop model. The price per scoop multiplied by your guest count creates a fixed price for the quantity included in your quote. If fewer scoops are eaten, the price stays the same; only if there's genuine extra consumption at the event does the vendor charge more, at the same unit prices. As protection for the vendor, there's usually a minimum spend – more on that below.
Here's how it works on the platform:
Why the fixed price is fair
Your guest count isn't final yet? No problem: the price per scoop multiplied by your estimated guest count gives you the fixed price in your quote – if fewer guests eat, it stays the same; only if there's genuine extra consumption at the event does the vendor charge more, at the same unit prices. The minimum spend only kicks in as a floor for very small events. So you have planning certainty from the very start: in the planner you'll already see the total price as you fill it in, and your quotes show the total price in black and white before you book anything binding.
The four cost components in the scoop system
If you go with the classic scoop-based system, the price breaks down into exactly four parts. Once you understand these, you can immediately make sense of any quote:
The price per scoop: what's normal?
The price per scoop is the most important cost factor. We analysed the profiles of active vendors on eisbuchen.de – 32 of them bill per scoop: the price per scoop ranges between €1.50 and €2.50. The typical (median) price is €1.80, the average is €1.86. So the range is surprisingly tight – unlike with pre-made portions.
Price-per-scoop statistics 2026 (sample: 32 profiles analysed that bill per scoop, as of September 2026)
| Metric | Value |
|---|---|
| Minimum | €1.50 |
| Median (typical price) | €1.80 |
| Average | €1.86 |
| Maximum | €2.50 |
Distribution
| up to €1.50 | 3 vendors (9%) |
| €1.51–1.80 | 14 vendors (44%) |
| €1.81–2.00 | 14 vendors (44%) |
| over €2.00 | 1 vendor (3%) |
Based on real vendor data from eisbuchen.de, as of August 2026
Important context: not every vendor bills per scoop. Some sell ready-made cups (€3.00–7.95) or soft serve portions (€2.00–3.50) – that's a price per portion, not a price per scoop, and the two shouldn't be compared. If you're serving ice cream sundaes, spaghetti ice cream, milkshakes or ice cream café-style desserts, expect €3.50–8.50 per portion instead of the price per scoop.
What pushes the price per scoop up: premium flavours (pistachio, dragon fruit, vegan varieties), special vehicles like a vintage van or a soft serve machine, and a more elevated presentation with a cone stand, toppings bar or ice cream counter.
The minimum spend: what's behind it?
Almost all ice cream van vendors work with a minimum spend – a minimum amount your event has to reach. In the real vendor data, the minimum spend ranges from €100 to €2,000, with a typical (median) figure of €300. For 42% of vendors, it's €200 or less.
That might sound like a hidden fee at first – but it isn't. The minimum spend makes sure the booking is worthwhile for the vendor: they drive their van over, set up, and might serve for 2 hours – that has to be covered, even if fewer guests turn up than planned. If your order falls below it, your quote will simply allocate you more portions than you originally selected.
How to budget for the minimum spend
Work with 2 scoops per guest and the average price per scoop of €1.86 – that's around €3.70 per person. With 60 guests, you'd land at roughly €223 in ice cream revenue, which is still below the typical minimum spend of €300, so the minimum kicks in. Only from around 80 guests does the pure ice cream revenue exceed the typical minimum spend. For smaller groups, you should therefore always check it explicitly in your quote.
Travel fees: when do they start adding up?
Travel fees are one of the most commonly underestimated cost factors. Many vendors travel free of charge within a certain radius, after which travel costs are added. The typical tiered structure on eisbuchen.de looks like this:
| Distance (one way) | Typical travel fee | Note |
|---|---|---|
| up to 20 km | free | Most vendors travel free of charge |
| up to 40 km | ~€30 | One-off flat fee, not charged per km |
| up to 60 km | ~€50 | Still clearly worth it |
| up to 80 km | ~€70 | Check local vendors first |
| up to 100 km | ~€90 | Compare several vendors |
| over 100 km | €90 + ~€0.80/km | Some vendors will decline |
Tip: on eisbuchen.de, the estimated travel fee is already shown when you make your request – so you always see a realistic total price straight away, before you send your request.
Vehicle types: which ice cream van suits your event?
Not every "ice cream van" is the same. The type of vehicle affects the look, capacity – and often the price too. On eisbuchen.de you'll find these variants (the vehicle type field on profiles is relatively new – so far only two vendors have specified one: one ice cream van/lorry and one Ape/three-wheeler; more vendors are adding this on an ongoing basis):
🚚 Ice cream van / lorry
The classic. Large, impressive, high capacity. Ideal for street festivals, company parties and big events from 80 guests upwards. Usually has a wide flavour selection and its own cooling system.
🛺 Piaggio Ape / three-wheeler
Charming and flexible. The Piaggio Ape is the most Instagram-friendly vehicle out there and fits through almost any entrance. Perfect for weddings, garden parties and smaller events. Capacity is limited – works best for 50–100 guests.
🚗 Vintage van
The highlight for special occasions. A vintage ice cream van isn't just there to serve ice cream – it's a photo opportunity and eye-catcher in one. Weddings and anniversaries love this entrance. Prices tend to be slightly higher.
🍦 Soft serve machine
Not mobile, but an experience in its own right. The soft serve machine is set up and dispenses creamy soft serve in real time – with or without toppings, in a cone or a cup. Usually needs a power supply (230V or 400V). Good for indoor events and fixed locations.
🏪 Ice cream counter / display freezer
A transportable sales counter with a chilled display case. Flexible to set up, no vehicle needed. Suitable for indoor events, trade shows and venues no vehicle can fit into. Range depends on the vendor.
🚲 Bike / cargo bike
Sustainable and likeable. The ice cream bike is ideal for smaller events, outdoor venues and anyone who cares about sustainability. Capacity is more limited than a van, but it's guaranteed to get attention.
Power supply: always ask in advance
Some vehicles are fully self-sufficient (no power needed) – ideal for outdoor events with no infrastructure. Soft serve machines and some chest freezers, on the other hand, need a 230V connection or even 400V / 16A or 32A. Vendors on eisbuchen.de state this on their profile – but always confirm the exact requirement directly when you send your request, so there are no nasty surprises on the day.
Ice cream flavours: what's typically on offer?
Most ice cream van vendors bring a core selection that they top up with seasonal highlights. The most popular flavours on eisbuchen.de – with the actual share of vendors who stock them:

Many vendors offer 10–20 flavours – you'll find the exact selection on each vendor's profile. Based on real vendor data, as of June 2026.
Unusual flavours like dragon fruit, lime and basil, whisky or truffle are a hallmark of premium vendors and give guests something to talk about at events. If you have particular favourite flavours or dietary requirements (lactose-free, vegan, nut-free) when making your request, state them directly in the planner.
Specials & extras: what costs extra?
Alongside the ice cream flavours, there are extras that elevate the experience – and often come with a small surcharge. The most common specials on eisbuchen.de (sample: 26 profiles analysed, as of September 2026), with real average prices where listed:
Total costs by event size: how to calculate them
Now let's put it all together. The table below shows realistic total costs for different event sizes – based on the real average price per scoop of €1.86, 2 scoops per person (so around €3.70 per guest), the typical minimum spend of €300, and a travel fee depending on distance to the vendor:
| Event | Guests | Ice cream revenue (avg.) | Travel | Total |
|---|---|---|---|---|
| Small birthday party | 30 | €112 | €0–30 | ~€300–330* |
| Children's birthday party | 50 | €186 | €0–30 | ~€300–330* |
| Wedding | 80 | €298 | €0–50 | ~€300–350 |
| Company party | 120 | €446 | €0–50 | ~€446–496 |
| Street festival / big event | 200+ | €744+ | €0–70 | ~€744–814+ |
* For events with under 80 guests, the pure ice cream revenue is below the typical minimum spend (€300) – so the minimum kicks in. For the 42% of vendors whose minimum spend is €200 or less, your actual costs will be correspondingly lower. Travel fee depends on distance to the vendor.
3 tips for saving money on an ice cream van – without compromising on quality
1. Choose a local vendor
The travel fee is often the biggest lever. A vendor from your town or the neighbouring area will travel free or for very little – while a vendor 80 km away already costs €70 extra. On eisbuchen.de/regions you can see all vendors sorted by region.
2. Weekday instead of weekend
Friday and Saturday events are in high demand among vendors, especially during peak season (June–August). For company parties or school events, it's worth considering Tuesday to Thursday – some vendors offer discounts then, or the minimum spend is more flexible.
3. Request early
Good vendors are booked out 4–8 weeks in advance during peak season. The earlier you're in, the more choice and negotiating room you have. Through the eisbuchen.de planner, you can easily compare all matching vendors with a real total price straight away, and request up to three directly bookable quotes.
In summary: an ice cream van is cheaper than you think
For most events, an ice cream van pays off brilliantly from as few as 50 guests – especially if you choose a local vendor and keep the travel fee low as a result. The cost per person then often works out at €3–5 – less than a cocktail at a company party, but with far more wow factor.
Compare all vendors by total price
Enter your date and location – the planner instantly shows you all matching vendors near you with real total costs in your dashboard. You request a directly bookable quote from up to three favourites. No obligation to book.
