Hiring an ice cream buffet: what is it, and what does it cost?

What is an ice cream buffet – and why is it so popular?

An ice cream buffet (also called: ice cream self-service, a self-serve ice cream counter, or an ice cream bar) is a catering format where guests scoop their own ice cream into cones or cups – choosing from a range of flavours, toppings and sauces. Instead of a classic staffed ice cream van, a set-up presentation counter is the centrepiece of the event.

The concept is simple and it works: guests come at their own pace, pick out their favourite flavours and enjoy the ice cream as an interactive experience. An ice cream buffet creates natural moments for conversation, relaxes the atmosphere, and suits almost every type of event and group size.

"An ice cream buffet is the most democratic catering format there is: every guest decides for themselves what they eat – and how much."

Ice cream buffet vs. classic ice cream van: what's the difference?

What does an ice cream buffet cost?

The cost of an ice cream buffet is made up of the same components as a classic ice cream van – with a few differences:

Price per portion (€1.80–2.50)

Just like with the ice cream van: your quote states a fixed price for the number of portions included. For a self-service buffet, most vendors recommend a scoop limit per guest (e.g. 2–3 scoops) to keep the quantity predictable from the outset.

Minimum spend (€200–500)

As with the ice cream van, there's usually a minimum amount that covers set-up, standing time and travel. For an ice cream buffet, the minimum spend can be a little lower, since there's no vehicle and driving route involved.

Set-up and take-down costs

Setting up and taking down the counter typically takes 30–60 minutes and is already included in the total price for most vendors. Ask when you make your request exactly what's included.

Staff (optional)

No staff are needed for the self-service format – guests serve themselves. If you'd like someone on hand for topping up, explaining the options and hygiene, vendors can offer this as an add-on. For trade shows or larger events (100+ guests), we recommend having at least one attendant.

Example calculation: ice cream buffet for a company party

80 guests × 2 scoops × €2.00€320
Travel / set-up (local)€50
Toppings & saucesincluded
Total cost~ €370

Which events particularly suit an ice cream buffet?

An ice cream buffet is especially ideal when:

  • The venue doesn't allow vehicle access – e.g. office buildings, exhibition halls, historic event venues with narrow entrances
  • The event is taking place indoors – an ice cream buffet with a mobile display freezer only needs a 230V power supply and no outdoor space
  • Many guests need to be served at once – several stations along the buffet spread the queue better than a single serving window
  • The interactive experience is the main point – guests mix and match, choose their own toppings, chat with others in the queue

Ice cream buffet highlights by event type

🏢
Company parties & team events: An ideal networking format – guests linger at the buffet longer and get talking. No vehicle needed, so it also works in the company car park or the canteen.
🏛️
Trade shows & conferences: An ice cream buffet at your stand draws visitors in and gives people something to talk about. Very flexible to set up, works even on a small stand footprint.
👰
Indoor weddings: An elegant ice cream buffet with a high-quality counter fits perfectly, visually, into castles, wine lofts or event venues without vehicle access.
🎓
School fetes & nursery parties: Safe, straightforward and exciting for children – self-service with a limit of 2 scoops per child.

What makes up a professional ice cream buffet?

A well set-up ice cream buffet consists of several components:

🧊 The display freezer

A mobile, chilled display freezer keeps 6–12 flavours at serving temperature. Depending on the model, it's either self-sufficient or needs a 230V connection. Larger display freezers have room for more flavours and achieve a higher throughput.

🍦 The flavours (6–10)

Typical: 2–3 classics (vanilla, chocolate, strawberry), 2 sorbets (lemon, mango – vegan), 1–2 premium flavours (pistachio, salted caramel) and seasonal surprises.

🍓 Toppings & sauces

Putting your own combination together is the highlight. Typical options: sprinkles, fresh fruit, nuts, chocolate sauce, caramel, marshmallows. Many vendors include several toppings as standard.

🧇 Cones & cups

Crunchy cones are the most popular option. Tubs are more hygienic for self-service. Many vendors bring both – with compostable eco cups available as an option too.

What to specify when you send your request

To get a suitable quote quickly, specify the following when you start via the planner:

  • Venue type: outdoor, indoor, hall, trade show, office – so it's clear whether a vehicle or a display freezer is the better fit
  • Power supply: is 230V available? Can an extension lead be used?
  • Guest count & desired limit: e.g. "80 guests, 2 scoops per person"
  • Duration: how long should the buffet stay set up?
  • Special requests: vegan flavours, allergens, company branding, specific toppings

In summary: the ice cream buffet as a flexible catering highlight

An ice cream buffet isn't simply "an ice cream van without the vehicle" – it's a fully-fledged catering format with its own strengths. Indoor-suitable, flexible to position, no vehicle access needed, ideal for self-service and networking events. For many types of event – especially trade shows, company parties in office buildings and weddings at historic venues – it's simply the better choice over a classic ice cream van.
