Hiring an ice cream stand: which type suits your event?

A mobile ice cream stand turns any event into an experience: guests enjoy creamy ice cream, the vendor brings everything with them – and you don't have to worry about a thing. But which option suits you? Ice cream van, Piaggio Ape, display freezer or mobile ice cream counter – every type has its strengths. This guide shows you the difference.

What is a mobile ice cream stand?

A mobile ice cream stand is an ice cream catering set-up that the vendor brings, sets up and runs entirely themselves. Unlike a fixed ice cream parlour, the vendor comes to your venue – whether that's a garden, company premises, wedding venue, function room or street festival.

The term hiring an ice cream stand often means a static set-up: the vendor positions their vehicle or counter at a fixed spot, and guests come to the ice cream. This is what sets an ice cream stand apart from the classic ice cream van, which sometimes also drives through residential areas selling portions – though at events, the static set-up is the norm.

The 4 types compared

Type Space needed Capacity/hr Ideal for
Classic ice cream van Parking space / 6×3 m 200–350 portions Summer parties, street festivals, big events (100+ guests)
Piaggio Ape (three-wheeler) Just 1.4 m wide 80–150 portions Gardens, tight venues, weddings, film sets
Mobile display freezer From 0.6 m wide 60–120 portions Indoor events, trade shows, offices, function rooms
Ice cream counter Flexible to set up 80–160 portions Galas, company parties, elegant venues

Ice cream van vs. mobile ice cream stand: what's the difference?

In practice, the two are used interchangeably. If you're searching for "ice cream stand hire", you almost always mean the same thing as "ice cream van hire" – namely, a vendor who brings their equipment to you and serves ice cream to your guests. The only real difference is in the type of vehicle:

  • Ice cream van – a classic ice cream vehicle with cooling and a serving hatch, usually diesel or electric
  • Piaggio Ape – a three-wheeler, especially charming and space-saving
  • Display freezer / ice cream counter – no vehicle, but a free-standing chilled unit with a serving area – ideal for indoor events, since no engine is running
  • Ice cream bike – a pedal-powered vehicle, 100% emission-free, perfect for parks and green spaces

You'll find all these options on eisbuchen.de. You enter your date, location and guest count – and instantly get matching quotes from regional vendors, along with the vehicle type each one offers.

What does a mobile ice cream stand cost?

The pricing structure is almost identical across all types: you don't pay a fixed daily rate, but agree a minimum spend (typically €200–500) plus a price per scoop or portion (€1.50–3.00). Travel costs are added from around 30–50 km onwards.

Example calculation: 80 guests, 2 hrs, Piaggio Ape

  • 80 guests × 2 scoops × €2.00 = €320 revenue
  • Minimum spend: €250 → minimum spend exceeded ✓
  • Travel (25 km, flat fee): €0
  • Staff for 2 hrs: included
  • Total approx. €320–380

For indoor events with a display freezer or ice cream counter, there may be a surcharge for the power supply or dry-ice cooling – your vendor will clarify this in advance. You'll find the full price overview with examples by guest count on our prices page.

Frequently asked questions about hiring an ice cream stand

Do I need a power connection for a mobile ice cream stand?

That depends on the type. Classic ice cream vans and most Piaggio Apes are self-sufficient – they have their own power supply (a generator or battery) and don't need a connection. Mobile display freezers, on the other hand, usually need a socket (230V), since they don't bring their own generator-powered cooling. Ask your vendor whether they're self-sufficient – this matters a lot for outdoor venues with no power.

How early do I need to book an ice cream stand?

For summer parties and weddings (May–September), we recommend booking at least 6–8 weeks ahead. Popular vendors with a Piaggio Ape or vintage ice cream van are often booked out months in advance during peak season. Outside the season (October–April), you can usually book more last-minute. Through our planner, you'll immediately get a quote from a vendor available on your date.

Can an ice cream stand be set up indoors too?

Yes – but only certain types. A mobile display freezer or ice cream counter is ideal for indoor spaces: no engine, no exhaust fumes, quiet operation. Classic ice cream vans and Piaggio Apes usually drive up to the venue and stay parked outside. For trade shows, function rooms, offices or covered venues, the ice cream counter is the first choice.

What's the difference between hiring an ice cream stand and ice cream catering?

None at all – both terms describe the same thing: you hire a professional vendor who brings their equipment to you and serves ice cream to your guests. This is also called mobile ice cream catering. Terms like ice cream stand, ice cream van hire, ice cream catering and booking an ice cream van are used interchangeably today.
